JOB SUMMARY:
If your closet is full of hats, they’ll be put to good use because you get to wear A LOT of different hats in this role, including:
Operations Guru: You will facilitate the day to day operations of a portfolio of communities, by assisting the Board of Directors and owners with their specific requests for information while maintaining visible, positive, compatible relations with the owners at all times. This includes regular visits to the communities to check on vendor work, meet with owners and make sure everything is in top shape.
Meeting Master: You will attend all Board and Owner meetings, record the minutes of the meetings and take steps to implement decisions made by the Board. Board members will look to you for guidance during the meeting and to preserve the business-like atmosphere. Many communities have established Committees of volunteers to assist the Board of Directors in various ways and you will be involved in facilitating those meetings and bringing their recommendations to the Board.
Organization Wizard: You will maintain the Association files, organize Board and Annual meetings of the association; prepare and mail correspondence.
Editor in Chief: You will send correspondence to owners including a quarterly newsletter, manager reports for Board members and very regular email updates to Board members and owners. Email volume runs on the high side so you’ll need to keep up with your correspondence.
Team Strategist: You will meet regularly with other members of the senior team to help guide strategy for the company including growth goals, staffing needs and budget review.
Budget and Finance Master: You will develop draft budgets for clients and work with our accounting team members to have an acute understanding of each client’s financial status with the ability to explain variances in revenue and expenses. You will work with the Board members to solve collections issues for past due owners.
Leader Exemplar: You will lead a team of Community Managers and meet with your staff regularly to stay on top of their task lists (yes, in addition to your own tasks for your clients!) and to provide a nurturing environment for their growth and development. You’ll attend meetings with your staff members’ clients as needed but at least a few times a year for each client’s budget and election meetings and will serve as the expert leader in these situations.
Culture Cultivator: You will help preserve and enhance the company culture that the Aperion staff members have worked very hard to create. This means working hard and having fun and contributing ideas to keep spirits high!

ESSENTIAL JOB RESPONSIBILITIES:
- Perform general office and clerical duties, including typing, filing, correspondence, and reports. We are a small office so everyone is responsible for their own admin duties, with some support from the reception and customer service staff.
- Develop and maintain strong working relationships with all owners and Board members within your portfolio, your team’s portfolio as needed, as well as all Aperion staff. You are a key “face person” for the company and your team.
- Support your Community Management team and leadership team through frequent meetings, company activities and special assignments in addition to your regular duties. Give regular feedback to staff members on their performance.
- Act as liaison between the owners and the Association for your own clients at all times and your team’s clients as required.
- Perform on-site Community inspections of all properties and document your findings. Depending on the client, these inspections may include recording and sending compliance letters for community violations to owners. Board members may not live on site, so they depend on you to be the eyes and ears for the community – you are the one who should know the community best!
- Familiarize yourself with each client’s financials and Aperion processes to help owners with questions regarding their statements as required. You don’t need to be a CPA, but there is a lot of math required for this job.
- Maintain high standards of personal appearance and grooming to set a great example for Aperion and your team members. Represent!
- Manage in compliance with established company policies and procedures and local, state and federal laws & regulations. There are lots of laws in this field and you are expected to do research to guide your clients through difficult situations (with the help of client counsel as needed).
QUALIFICATIONS:
- High School Diploma
- Two Year college degree preferred or combination of experience and college
- Five years experience in Community Association Management
- Proficiency in Microsoft office software applications, Word, Excel, and Power Point
- Dedication and commitment
- Patience and maturity
- Ability to learn from experience and to own up to your mistakes (honesty is ALWAYS the best policy!)
- Well-organized and resourceful
- At least 18 years old with valid Oregon Driver’s License and Good Driving Record

To do this kind of work, you must be able to:
- Speak and write clearly and listen carefully. This applies even when the person writing or speaking to you is frustrated or upset. Expect some negativity from owners and be able to work through it in a professional manner.
- Use personal judgment and specialized knowledge to give information to clients and team members.
- Use mathematical skills to interpret financial information.
- Analyze and interpret established policies. Look for improvements, too!
- Understand the government regulations covering business operations and Community Association Management. Familiarize yourself with client governing documents and other legal resources that guide how our industry functions.
- Be highly organized, able to stay on task and face regular interruptions. No two days are alike, and your list will grow quickly if you can’t quickly recover from sidebars or problems.
